Pointer #1: Looking into Lookups

GoldMine, as it comes out of the box, has easily-edited lookup codes that every GoldMine user sees and uses regularly while working in GoldMine. By default, the lookup codes in GoldMine are oriented to--what else?--selling GoldMine. (Yes, there are special lookup codes for GoldMine's free Financial Services, Insurance, Legal, Mortgage Lending, and Real Estate industry templates.)

However, you, the master user/manager, can easily change lookup codes to meet the needs of your company. Here is how. In the downloadable PDF, we use the Complete a Call Back lookup codes which you access on the main menu by clicking Complete/Scheduled Call, and you can do the same thing with Complete/Unscheduled Call and other lookups. Decide on a code and short description you would like to add to the Lookup. (Our example in the downloadable.PDF uses YCH to stand for Your Category Here.)

1. Click the menu dropdown button next to the Code dialog box. A menu will open.
2. Click on the Lookup windowà The codes you see in your menu will be different than the ones shown in the downloadable file. This is not a problem.
3. The Call Activity Codes window will open. The items in your resulting menu will be different unique to your company. Again, not a problem.
4. Click the New button on the top right of the Call Activity Codes window.
5. The F2 Entry window will open. Enter your new 3-digit code, two forward slashes and your new category description as shown in the downloadable file.
6. Click the OK button. Codes windows will go away. Now you and your team can select the code category you have just created.

Tech Tip for Managers: We suggest that only one person have the GoldMine rights to make this change. You can end up with too many people creating their own favorite codes and categories that have meaning only to themselves!
